Setting Up Your First Zap

A "Zap" is an automated workflow in Zapier. Here's how to create your first one to sync LeadHQL introductions to your CRM.

Basic Concept

Every Zap has:

  • Trigger - What starts the automation (LeadHQL: New Lead)

  • Action - What happens next (e.g., Create contact in your CRM)

Step-by-Step Setup

1. Start a New Zap

  1. Log in to Zapier

  2. Click Create Zap (or the + button)

2. Set Up the Trigger

  1. Search for LeadHQL as your trigger app

  2. Select New Lead as the trigger event

  3. Connect your LeadHQL account (if not already connected)

  4. Click Test trigger to pull sample data

  5. Continue to the action step

3. Set Up the Action

  1. Search for your CRM (e.g., Close, HubSpot, Salesforce)

  2. Select an action like Create Contact or Create Lead

  3. Connect your CRM account

  4. Map the fields:

    • First Name → LeadHQL First Name

    • Last Name → LeadHQL Last Name

    • Email → LeadHQL Email

    • Phone → LeadHQL Phone

    • Add any custom fields you want

  5. Test the action

4. Turn On Your Zap

  1. Give your Zap a name (e.g., "LeadHQL to Close CRM")

  2. Click Publish or Turn on Zap

  3. Your automation is now live

What Happens Now

Whenever a new buyer is introduced to you in LeadHQL:

  1. Zapier detects it automatically

  2. A new contact/lead is created in your CRM

  3. You can start working the introduction immediately

Tips for Your First Zap

  • Start simple - just sync the basic fields first

  • Add more complexity later (tags, assignments, etc.)

  • Test with a real introduction to confirm it works

  • Check your CRM to verify the data arrived correctly
